Romanian Cultural Institute in Beijing, located in China, Beijing city, Dongcheng District, Galaxy SOHO, Building A, 10125 - 10127, phone number 13811591761/65206178 invites the companies that qualify and that are interested in giving an offer for Romania - guest of honor at the BIBF 2019, from August 21-25.

Contract value: 56.603,77 USD (without VAT)

Budget: state budget

Selection: lowest price

Contract period: until both parties accomplish their obligations, not later than August 25

Offer language: Chinese

Financial offer type: the offer will be in USD (with and without VAT) and will incorporate all the services in the contract

Offer presentation: the offer will be sent by e-mail or in a closed envelope having the address of the Romanian Cultural Institute in Beijing on it and the inscription 'Not to be opened until July 12th, 10 a.m.'

If 2 of the offers have the best price, the RCI in Beijing will ask the companies to send a new offer.

Deadline to send the offer: July 11th, until 5 p.m.

Qualification criteria:

For foreign companies:

- Company registration document in China

- Agreement between the company and BIBF organizers to build the booths

Offer presentation:

The technical requirements for the 300 square meters booth will be detailed as follows:

1. Booth arrangement: 150 square meters event space, containing at least: events stage with space for the public, furniture rental costs (high presentation desk for the stage, 30 chairs for the public, 10 chairs for the guests, tables), audio and video equipment rental costs (microphones, amplification, plasma TV, lights)
2. Space for book industry professionals meetings (100 square meters area) 2.1. Lounge: furniture rental costs (sofas, tables, video equipment), this area will have privacy walls that will have shelves to showcase books and promotional materials. Also, one of the walls will have a special showcase for philately objects. 2.2. 100 square meters for the publishing houses (5 tables with 4 chairs each table rental costs)
3. Exhibit and storage area of 50 square meters, exhibit area should accommodate around 500 books (shelves, table’s rental costs). The storage area should close with a key.

The booth will also have:

- info desk area, that will have designated space for promotional materials in front and storage space in the back

- closed storage area (with electricity outlets, garbage can, hanger)

The company will also offer the connections to electricity, Wi-Fi and lights. Will also mention the color of the carpet used inside the booth. And will present the booth in time and clean (ready to be used).

The offer will have:

- the proposed design: 3 designs, each one with the schemes and technical details (material type, color, dimension, stage high, quantities, etc.)

The above requirements are the base; the company can come with other proposals, within the budget (with detailed costs).

The graphic design will be provided by the Romanian part after receiving the offers and choosing the winner one.

Financial offer presentation:

The offer should contain a cost table (with details).

The price of the contract is the same during the whole period of the contract.

The offer should have technical and financial details, company documents.

The winner design company should provide the BIBF organizers with all the requirements.

The payment will be done directly to the company bank account, according to the invoice the receptions documents within maximum 30 days from receiving the invoice.
